Terms and Conditions

These terms cover equipment rented from I Love Events, a brand of I Love Events Canada Inc. Confirming an order means accepting them. Nothing below is written to be skimmed past — ask us to put any clause in plainer words before you book, rather than after.
1. Quotes and orders
A quote lists the equipment, the quantities, the dates and how the order gets to you. It becomes an order when you accept it in writing, by email or through the request form on this site.
An order has to reach $150 before we can take it on. That is a floor on the order as a whole rather than a charge for anything in particular.
Adding items after an order is confirmed is fine while the stock is still free. Additions are re-quoted rather than priced on the spot. The new quote replaces the one before it.
If your event needs something that is not in our catalogue, ask anyway. We will tell you whether we can get hold of it.
2. What the quote includes
One figure, with everything inside it. Where an order includes delivery, setup and collection, those are already in the number on the quote. No separate invoice follows for them afterwards.
Collecting the order yourself and bringing it back costs nothing. Both slots are booked with us ahead of time. We will tell you how much vehicle space the order needs before you set out.
Where an order involves printed graphics, the quote shows two lines: the hardware you are renting from us and the print, which is produced to your own artwork and stays with you afterwards. Two lines, one quote.
We carry commercial general liability insurance. Where a venue requires a certificate naming it, send us what the venue asks for with your request and the certificate is issued before load-in.
3. The rental period
The period runs from the moment the equipment reaches you to the moment it comes back, on the dates written into your confirmed quote. A day is the shortest we rent for. There is no longest — several months and a full year are both ordinary here.
If you find you need it for longer once the event is under way, tell us before the period ends. We invoice the extra time and the equipment simply stays where it is.
Equipment kept past the confirmed end date without that arrangement stays your responsibility until we have it back and may be invoiced for the additional days.
4. Delivery, collection and access
We deliver to the address on the quote, inside the access window you give us. Please have somebody there to take the delivery and keep the route from the vehicle to the setup point clear.
Difficult access is not a problem as long as we know in advance. Stairs, a small elevator, a long carry from the parking: tell us with the request and the delivery is planned around it. The same goes for a load-in that has to happen overnight, early or after hours — arrange it beforehand and we will work to it.
If we arrive and cannot deliver or collect because nobody is there, the site is locked or the access window moved without notice, a second trip has to be arranged and quoted.
5. Looking after the equipment
The equipment stays ours throughout. You have it on hire, which means using it for what it was built for and sending it back in the state it arrived in, allowing for a working event.
Please do not modify it. Nothing drilled, cut, painted or fixed to it permanently — and nothing attached to it that did not arrive with it.
Textiles are the one thing you never have to clean. Send them back as they come off the event. Laundering after every rental is ours to do.
6. Damage and loss
Marks and light scratches come back on everything that has been to an event. That is wear, it is expected and it costs you nothing.
Damage past that point is yours to cover. So is anything lost or stolen while the equipment is in your care. We invoice the repair or the replacement, whichever the item actually needs. There is no waiver to buy and no fixed percentage — the invoice reflects the item.
Tell us as soon as you know something is broken or missing. It is a far smaller problem on the day than it is a week after collection.
7. Cancelling an order
If you cancel a confirmed order, what comes back depends on when we hear from you:

Every window is counted back from the delivery time on your confirmed quote rather than from the event. On most orders the equipment arrives before the day itself, so the deadline falls earlier than it first looks.
Send a cancellation in writing, to the email address at the foot of this page, so the time you sent it is on record.
If we are the ones unable to supply an order we have confirmed, you get the whole of it back.
8. Payment
We invoice against the confirmed quote. It can be settled by credit card, direct deposit or Interac e-Transfer.
There is no deposit to place. The other side of that is that nothing is held for you until the invoice is paid in full, so on a busy date the stock stays available to whoever settles first.
9. What we do not supply
We rent equipment. Staffing an event is not our line of work — no bartenders, dealers or attendants are on our books.
Ask anyway if you need somebody to run what you are hiring. It can sometimes be arranged through companies we work with. Either way you will get a straight answer.
10. Buying rather than renting
Anything in the rental range can also be supplied brand new to buy. A purchase is quoted exactly the way a rental is.
The clauses above about the rental period, care, return and damage belong to hire. They do not apply to something you own.
11. Responsibility at your event
What we are responsible for is supplying equipment in working order, delivering it, setting it up where that was ordered and collecting it on the agreed dates.
What stays with you is the event itself: how the equipment is used once it is standing, who supervises it, how people move around it, site safety and anything a venue or a permit requires of the organiser.
12. Governing law
These terms are governed by the law of the province the equipment is delivered in — British Columbia or Ontario — together with the federal laws of Canada that apply there.
13. Changes to these terms
This page is revised as the business changes. The version that governs your order is the one published when the order was confirmed. The date under the heading shows when this one was last revised.
